Cloudini · Your information

Privacy policy.

How we handle personal information when you use this website or contact us about our services.

Last updated: 19 October 2026

1. Who we are

Cloud Dot Ini Ltd (trading as Cloudini), company number 12452777, is responsible for the personal information covered by this policy. Our registered office address is First Floor 10 Hampden Square, Southgate, London, England, N14 5JR, United Kingdom. For privacy questions or requests, email hello@cloudini.co or write to that address.

This policy covers this website, business enquiries and related prospective-client communications. If we process information on a client's behalf as part of a project, the relevant client agreement and data-processing terms also apply.

2. Information we collect

When you contact us, we receive your name, email address, message and any further information you choose to supply. The contact form also lets you provide your company, services of interest, region, indicative budget, timeline, engagement preference and whether you would like a mutual NDA.

We also use correspondence and information needed to discuss your request, prepare a proposal or manage a business relationship. We collect this information from you and, where someone contacts us on behalf of a business, from that person.

Our hosting and email services process technical information needed to operate securely, such as IP addresses, browser and device information, request times, delivery records and error or security logs. The website temporarily counts enquiry attempts to reduce abuse.

Please do not include passwords, payment-card details, health information or other sensitive personal information in the enquiry form. It has no file-upload facility. Our website is intended for business users and is not directed at children.

3. Why we use information and our lawful bases

  • Replying and preparing work: we use enquiry and correspondence details to understand your request, answer questions and prepare proposals. Our basis is taking steps at your request before entering a contract where that applies, or our legitimate interests in responding to business enquiries and developing business relationships.
  • Providing and managing services: we use relevant contact and project information to perform a contract with you, or for our legitimate interests in communicating with business representatives and administering client relationships.
  • Operating and protecting the website: we use technical information to deliver pages, send enquiries, diagnose faults and prevent spam or misuse. Our basis is our legitimate interests in maintaining a secure, reliable business website.
  • Legal matters: we may retain or disclose necessary information to meet legal obligations or establish, exercise or defend legal claims, relying on the relevant obligation or our legitimate interests in protecting our rights.

The form requires a name, email address and message so we can respond. Other fields are optional. You do not have to make an enquiry, but we may be unable to answer a request without sufficient contact or project information.

Submitting this form does not subscribe you to a mailing list. The website does not use your enquiry for automated decisions with legal or similarly significant effects or for advertising profiling. We do not sell personal information.

4. Who can receive information

We restrict access to the people who need it to handle your request or provide the agreed service. This may include authorised staff or contractors, hosting and transactional-email providers, our business email provider, and professional advisers where necessary. These providers act under appropriate contractual and confidentiality arrangements where they process information for us.

The enquiry form uses Resend for transactional email delivery to Cloudini's inbox. Our business email is provided through Google Workspace. The form does not subscribe you to marketing emails.

We may also share information where required by law, with competent authorities or to protect legal rights. We do not publish contact-form submissions or pass them to unrelated organisations for their own marketing.

International processing

Cloudini's office is in London. Some technology providers or authorised service personnel may process information outside the UK. Where a restricted international transfer occurs, we require a lawful transfer mechanism, such as applicable UK adequacy regulations or appropriate contractual safeguards, together with any required assessment and supplementary measures. Contact us for information about the safeguards relevant to your information or to request a copy where available.

Resend stores its account information, email metadata and delivery logs in the United States. Selecting an Ireland sending region does not move that stored account information to Ireland. You can read Resend's data-residency information for further details.

5. How long we keep information

We keep enquiry information for as long as needed to answer, carry out reasonable follow-up and decide whether to proceed with the proposed work. When an enquiry is closed, we assess whether a continuing business, contractual or legal reason requires retention; otherwise we delete or anonymise it.

If you become a client, relevant correspondence and records may be retained for the life of the relationship and afterwards where necessary for accounting or legal obligations, resolving disputes or handling claims. We determine the period by the type of record, the applicable legal requirements, the status of the relationship and any active dispute or claim.

Security and delivery records are kept only as needed to operate the service and investigate faults or abuse, subject to provider settings and any incident or legal requirement. The form's temporary per-server attempt counters expire after ten minutes. Browser preferences remain on your device until replaced or cleared.

6. Cookies, preferences and third-party links

This website uses browser local storage to remember your preference choice. It does not load advertising or analytics scripts. You can remove the saved choice using your browser's site-data controls. Read our cookies and preferences page for more information.

When you choose “Send enquiry”, the form sends the information you entered to our server, which passes the enquiry to our email-delivery service for delivery to hello@cloudini.co. It does not require you to open an email app and does not save a copy of the message in browser local storage.

Social-media, map and other external links take you to services with their own privacy policies. We do not embed their tracking widgets into the enquiry form.

7. Keeping information secure

We use access controls and appropriate technical and organisational measures to protect personal information. Enquiry delivery uses server-held credentials; these credentials are not included in the website sent to visitors. The form validates submissions and limits their size, rejects cross-site submissions and uses basic abuse controls. Access to business correspondence is limited to authorised people.

Please use the contact form for an initial description of your project. We can agree a suitable secure channel before you share confidential documents or sensitive information.

8. Your data-protection rights

Depending on the circumstances, you may ask to access your personal information, correct inaccuracies, erase it, restrict its use or receive a portable copy. You may object to processing based on legitimate interests. Where processing relies on consent, you may withdraw it without affecting earlier lawful processing. Rights can be subject to legal conditions and exceptions.

To make a request, email hello@cloudini.co. We may need proportionate information to verify your identity. We will explain the response and normally respond within one month; if the law permits extra time because a request is complex or numerous, we will let you know.

9. Questions, complaints and changes

Please contact hello@cloudini.co if you have a concern about how we handle your information. You can also complain to the UK's Information Commissioner's Office using the ICO's complaints service.

We review this policy when our services or handling of personal information change. The date above identifies the current version. If a new purpose requires further information or consent, we will provide that before using information for that purpose.
